Editing and Deleting Items

You may find it necessary from time to time to edit an item’s sales details, or delete an item, once it has already been added to the transaction.

Editing Items

Editing an item’s specific information is done by simply selecting the specific field that needs to be edited with either a mouse or your finger, depending on your device.

The sales details that can be edited on items are outlined below:

  • Quantity
  • Price
  • Taxable/Non-Taxable
  • The Item’s Total
Sales details

PLEASE NOTE: you may not have permission to edit some of an item’s sales details, such as its price or total.

If so, you will be prompted to enter in a manager’s passcode to proceed.

When the specific item field is selected, it will highlight so you can enter the new information using the numeric keypad – then press the green Enter key.

In the example below we are changing the quantity of Beach Balls from 1 to 2.

Changing quantities

Deleting Items

Delete an item by pressing the “X” on the right of its receipt window listing (see below example).

Deleting an item

Note that if the item is being deleted is the only item in the sale, you will be prompted to cancel the entire sale.

Using a Barcode Scanner

Typically, the fastest way to enter typical retail items is by using a barcode scanner.

If you have one it will either be a hand-held version (the two on the left) or one that is combined into an embedded counter scale:

Barcode scanners

These automatically enter the item scanned into the receipt window when the item’s barcode is held near the scanner’s lasers.

Barcode Manual Entry

Also note that a barcode can be manually entered with the numeric keypad, which may be necessary if the item’s barcode is damaged or the barcode scanner is malfunctioning.

Simply enter the barcode number in to the keypad- you will see it appear in the line item entry field.

When finished with the number, pressing the Enter button on the the keypad will add the item to the sale (see example below).

Use the keypad to enter item code

Additionally, pressing the Clear button will delete any numbers input so you can start over.

Entering multiple quantities of an item with a scanner is very similar to the method using an item button, only substitute the last step of pressing the button with scanning the barcode:

  1. type in the quantity number using the numeric keypad
  2. press the Quantity function button
  3. scan the item’s barcode

Entering items using the menu buttons

As in the example below, we have pressed the “Toys” button on the far right of the navigation menu and selected the “Beach Ball” item button.

Note the item listing (the grey line) in the receipt window below. It shows:

  • the item number (5002)
  • the quantity (1)
  • the item’s name
  • the item’s price ($3.99)
  • a check mark indicating that the item is taxable
  • the item’s pre-tax total
  • an “X” which, if needed, will delete (void) the item from the the sale.

Also note the Take Cash button on the top right of the screen that shows the purchase’s total, including tax.

Take cash button

If you need to enter a certain number of the same item (for instance, if the customer is buying 5 beach balls) simply:

  1. type in the quantity number (5) using the numeric keypad
  2. press the Quantity function button
  3. press the appropriate item button
Use keypad to increase quantity

In the example above, note that the Quantity is now set to 5 and the pre-tax total for the beach balls on the right is now 19.95.

Using Item Search to add an item to the transaction

You may find that a particular item is not listed as a button and it does not have a barcode as well. If this is the case, use item search:

Select the Item Search function button

Item Search button

Type into the orange input window any part of the item’s information – full or partial info of either an item name or item number – and press the Search button.

Search button

Here we’ve used the product name of JERSEY, which will bring up all the items in the inventory that have “Jersey” in them.

Supposing that the customer’s item is a Small Black Jersey for $24.99, we’ll select that item from the list.

Select item from search list

Once the item is selected, pressing the Attach to Transaction button will add the item to the selection.

Attach to Transaction

If you are adding multiple quantities of the item:

  1. type in the quantity number of items that are being purchased using the numeric keypad
  2. press the Quantity function button
  3. find the item using the item search and attach to the transaction.

Searching though ALL your items

If you need to search through entire inventory list to find an item, simply keep the yellow search field blank and select the Search button.

Just keep in mind that it may take several seconds for the POS to load in all the items in your inventory list

Search through all items

Once your complete item list is loaded, you can scroll the item window depending on your device:

Touchscreen Devices (Android, POS-X): touch the screen with your finger and, without lifting it off, move it up or down to the edge of the list.

With a mouse (PC, POS-X): left-click in the list window and, without letting go of the mouse button, move it up or down to the edge of the list.
